There were no matters
arising from the previous minutes that were not covered in the agenda.
Geoff Cumbers our Project Organiser has been trialling some draft time sheets
and expenses sheets. His time needs to be clearly detailed and coded against
the specifics of his job description to provide clarity for the funders as to
what is being claimed for and enable us to monitor effectively. The spread sheet
seems to be working well, he will send this each week to Chrys Browne (line
manager). Geoff is using his three days flexibly to accommodate the meetings
in which he needs to be involved
There were a variety of other discussions around the operational aspects of
Geoff's post.
All trustees were reminded to ensure they are keeping a log of their time spent on the project as this will provide some matched funding.
Part of the funding
received is for an architectural survey to be carried out. Gillian Mc Callum
has been managing this process. Requests to tender were sent out in late September
and to date there have been four interested parties. These are all architects
that have specialist skills in restoring listed buildings.
It was felt the original
date set for interviews did not give enough time for all the tenders to be carefully
scrutinised.
Michael Starbuck, David Trevis-Smith and Geoff have the greatest amount of expertise
in this area, it was agreed they would follow up this process and set another
date for later in November.
There were a variety
of discussions around funding issues and the need for collaboration between
all involved in bringing life back into the Folly.
It was agreed that
we would hold an open meeting to share information with everyone in the village
and to start a consultation process. Date to be confirmed.
At a recent meeting
with Andrew Ferrier at East Hants District Council, support in a variety of
areas was offered to the project and to Geoff.
